How subscription and account management work

Understand plans, usage, subscription changes, payments, and states that affect access to Agencify.

Orientation

The Subscription area connects three things that should be evaluated together: the Workspace plan, current client and user usage, and billing status. It also provides the authorized paths for starting a subscription, reviewing a plan change, and managing payments.

Why it matters

A plan change can alter the capacity available to your operation. A billing issue can restrict operational areas until it is resolved. For this reason, Agencify limits full management to Owners and Admins and shows the context before sending a confirmation to the payment system.

Mental model

Think of the subscription as a relationship between four states:

  • The current catalog defines which plans and billing cycles are available to the account.
  • Workspace usage shows how many clients and users already occupy the plan's capacity.
  • A change preview explains the expected treatment of the change before confirmation.
  • The state returned by billing determines whether the subscription is active, in a trial, canceled, or needs attention.

Agencify presents the plan, usage, and preview. Stripe's secure flow completes a new subscription or opens subscription and payment management. Closing or canceling that flow before confirmation should not be treated as a completed change.

Realistic scenario

An agency has grown and is considering another plan. An Owner or Admin compares current client and user usage with the capacity of the intended option. The person then reviews the preview to understand how the change will be handled and only then continues to the billing flow.

If the selected option has less capacity than current usage, the change may be blocked until the Workspace is within the limit. If the payment needs attention, the person returns to Subscription, opens secure management, corrects the issue, and checks the updated status.

  • Comparison of options and billing cycles available in the account's current catalog.
  • Plan change preview with expected charge, credit, and effective treatment when those details are returned.
  • Secure checkout for starting a new subscription.
  • Secure portal for managing the subscription and payment information.
  • Guidance for requesting a custom option when one is available.
  • Notices about trial, cancellation, and billing states that need attention.

Limits and recovery

Displayed amounts, currencies, limits, cycles, and terms come from the current catalog and billing account. They can vary, so this article does not replace the preview shown before confirmation. A downgrade can be blocked when current usage exceeds the intended capacity, and some changes may be temporarily unavailable after a recent change.

Only Owners and Admins have full management access. If checkout or the portal does not open, allow the provider's secure window and try again from Subscription. If billing is canceled, unpaid, or expired, some operations can be restricted until recovery. Refresh the page after completing a correction in Stripe. If the state does not change, contact support without sending card data or other sensitive information.
